
The first expectation of businesses turning on AI-assisted answering is usually "let the system take every call." What works in the field is the opposite: the assistant closes out repeating, well-defined tasks and hands anything undefined to a person without delay.
The repeating tasks are obvious in any sector. Booking an appointment, moving one, opening hours, the address, an order status — these have a definite answer and can be recorded. Letting the assistant close that group out visibly frees up the front desk.
The transfer rule should be just as clear: complaints, cancellations and price negotiations go straight to a person. An assistant trying to resolve those leaves the caller waiting and then repeating themselves.
Because every call is transcribed and its outcome recorded, by the end of the first month you can measure which requests were handled automatically and which were transferred. The rule set is then narrowed or widened against that data.
